Job purpose

The missions of the administrative and accounting assistant are variable and progressive according to the training, the need of the company and the profile of the candidate recruited. During the apprenticeship, the candidate will assist the head of the administrative and financial department in administrative and accounting tasks, as well as more HR-oriented administrative tasks. During his/her mission, the person will be required to manage several varied tasks at the same time, the main ones of which are described below.

Source and nature of management provided

The administrative and accounting assistant will be supervised directly by the administrative and financial manager, whom he/she will be working closely with.

Staff management responsibility

This position does not involve responsibility. However, the person recruited will be responsible for communicating reliable data and may sometimes be in charge of secondary missions (e.g. management of the completeness of supplier invoices/dematerialisation of invoices, etc.)

Main duties and responsibilities

Using a high degree of technical expertise, provide technical support for ongoing projects as well as assist with in-house experimental setup design, including:

  • Provide telephone and delivery reception (no load port)
  • Sort and archive documents, paper and EDM (GED)
  • Write documents
  • Perform accounting entries with an automated supplier invoice entry tool
  • Process and reconcile expense reports before validation
  • Perform Order/BL/Invoice Reconciliations
  • Manage office and other consumable inventory
  • Other tasks according to skills development


Essential Qualifications/Experience/Attributes

  • Accounting and organization management Advanced Technician Certificate (BTS) / Advanced Technician Certificate (BTS) / DCG / Bac STMG / DUT GEA / Other training related to administration and accounting/ Vocational training - Accepted vocational retraining
  • Knowledge of general chart of accounts
  • Proficiency in office automation software
  • Master French spelling and grammar
